Setting up email correctly the first time saves you hours of frustration later. This guide covers adding email accounts in Outlook, setting up Gmail in Outlook as a secondary account, and adding email to the iPhone Mail app — including how to handle accounts protected by two-factor authentication (2FA).
## Microsoft 365 Email in Outlook
If your business uses Microsoft 365 (Office 365), Outlook can connect automatically using your work credentials.
1. Open Outlook and go to File → Add Account (or, on first launch, Outlook prompts you automatically).
2. Enter your full work email address (e.g. yourname@yourcompany.com) and click Connect.
3. Enter your Microsoft 365 password when prompted.
4. If your organization uses Multi-Factor Authentication (MFA), approve the sign-in on your phone.
5. Outlook will configure the server settings automatically using Exchange. You do not need to enter server names manually.
### IMAP vs Exchange — Which Should You Use?
– **Exchange (recommended for Microsoft 365):** Syncs email, calendar, and contacts in real time. This is the correct option for business accounts.
– **IMAP:** Works for personal email providers like Gmail, Yahoo, or personal Outlook/Hotmail accounts. Only syncs email — not calendar or contacts.
If you are setting up a non-Microsoft work account, use IMAP and ask your IT provider for the incoming mail server (IMAP) address, port, and outgoing (SMTP) address.
## Gmail in Outlook
Many users prefer to manage their Gmail through Outlook. Here is how to add it.
1. In Outlook, go to File → Add Account.
2. Enter your Gmail address and click Connect.
3. A browser window opens — sign in to your Google account and click “Allow” to give Outlook permission.
4. If your Google account has 2-Step Verification, see the App Passwords section below.
5. Once authorized, your Gmail inbox, sent mail, and folders will sync into Outlook.
**Note:** Google sometimes blocks this connection for new accounts as a security measure. If you see “couldn’t connect,” go to your Google Account → Security → Less secure app access and check whether an App Password is required instead.
## iPhone Mail App Setup
The iPhone Mail app supports Microsoft 365, Google, and most other email providers.
1. Open the Settings app on your iPhone.
2. Scroll down and tap “Mail.”
3. Tap “Accounts,” then “Add Account.”
4. Choose your provider: Microsoft Exchange, Google, Yahoo, or “Other” for custom accounts.
5. For **Microsoft 365:** Choose Microsoft Exchange → enter your work email and password → tap Next. The phone configures itself automatically.
6. For **Gmail:** Choose Google → sign in with your Google account credentials → allow access. Choose what to sync (Mail, Contacts, Calendars).
7. For a custom email host (e.g. a domain like info@yourbusiness.com): Choose Other → Add Mail Account → fill in your name, email address, password, and the incoming/outgoing server details from your hosting provider.
## App Passwords for 2FA-Protected Accounts
When two-factor authentication (2FA) is turned on, some email clients cannot use your regular password — they require a special “app password” generated by your account.
**For Google:**
1. Go to myaccount.google.com → Security → 2-Step Verification.
2. Scroll to the bottom and click “App passwords.”
3. Select “Mail” and your device type, then click Generate.
4. Copy the 16-character password shown and paste it into Outlook or your email app in place of your normal Google password.
**For Microsoft 365:**
App passwords in Microsoft 365 are managed by your organization’s IT admin. If Outlook cannot connect to a Microsoft 365 account with MFA enabled, contact your administrator.
## Common Errors and Fixes
– **Wrong password:** Make sure Caps Lock is off. For Google accounts, verify you are using an App Password if 2FA is on.
– **Server not found:** Double-check the incoming and outgoing server names with your email provider. A typo or wrong port number (IMAP usually uses port 993; SMTP uses 587 or 465) is the most common cause.
– **Account keeps asking for password:** Your password may have changed elsewhere and needs to be updated in the mail client. Go to File → Account Settings in Outlook and re-enter your credentials.
– **Emails not sending:** Check your SMTP settings. Many ISPs block outbound email on port 25 — use port 587 (TLS) or 465 (SSL) instead.
